Recovering tables from a PDF
A table in a PDF has no rows and no columns. It is text placed at coordinates that happen to line up, plus some lines drawn on top. Getting it into a spreadsheet means detecting that alignment and rebuilding the grid, which works well when the table is regular and gets harder when it is not.
Ruled tables with consistent columns and one line per row convert most reliably. Merged cells, headers repeated across pages, wrapped multi-line entries and columns separated only by whitespace are where a converted grid usually needs a pass by hand.
Checking the result
- Check the totals
- The fastest sanity check there is. If a column sums to the figure printed in the PDF, the rows came across intact.
- Watch for merged rows
- An entry that wrapped onto two lines in the PDF can arrive as two rows and need joining.
- Check number formats
- Values may land as text if they carried currency symbols or thousands separators. Reformat the column before calculating.
- Remove repeated headers
- A header that reprinted on every page appears as an extra data row wherever the page broke.
Scanned tables need OCR first
If the PDF came from a scanner, its tables are pixels. There are no characters to extract, so no converter can recover the numbers without optical character recognition to turn the image back into text — and OCR of a dense numeric table needs checking digit by digit before anyone calculates with it.
